The Diamond PTO is evolving toward a more collaborative, flexible structure built around shared leadership, smaller volunteer opportunities, and team-based support.

We intentionally broke larger PTO roles into smaller, manageable ones because we know families are busy and volunteering should feel approachable, flexible, and, dare we say, fun.

2026–27 is a rebuilding and growth year for the PTO, and we’d truly love to welcome anyone interested in:

  • Helping out in small ways

  • Trying out the PTO

  • Meeting new people

  • Staying connected and informed

  • Helping shape the next chapter of the Diamond community

We’re lucky to already have a wonderful core group of experienced PTO volunteers helping steer the ship, but we’d love more teammates to join the adventure.

No giant commitments. No one is doing this alone. Just lots of manageable ways to help make Diamond a stronger, more connected community.

PTO Leadership & Operations

PTO Strategy & Community Director – Olivia Kelley

Many families will likely recognize Olivia from LexFUN, the Fiske PTO, coaching soccer/baseball/flag football around town, or various Lexington community events. She loves bringing people together, building community, and firmly believes PTO meetings should include good snacks.

Olivia guides the overall PTO strategy and keep the bigger picture moving forward by:

  • Coordinating with Diamond Administration and helping maintain the PTO calendar

  • Supporting volunteers, PTO teams, and community-building efforts

  • Overseeing communications, outreach, and PTO engagement

  • Helping drive fundraising initiatives and membership growth

  • Identifying opportunities, connecting people, and keeping PTO initiatives moving forward

 A big part of this role is making sure no single volunteer feels overwhelmed and helping create a PTO culture where more families feel comfortable jumping in.

Estimated Time:
Ongoing throughout the year with team-based support.

Great for someone who:
Enjoys connecting people, building community, thinking strategically, and helping organize lots of moving pieces into something fun, sustainable, and welcoming.

Important:
This role is not about “doing everything.” The goal is to build systems, teams, and momentum so many people can contribute in manageable ways.

PTO Organizer

Help keep the PTO running smoothly behind the scenes by organizing shared docs, maintaining the PTO calendar, helping with meeting notes, and tracking volunteer needs.

Estimated Time: ~1–2 hours/week

Great for someone who:
Loves organization, lists, calendars, and helping things stay on track without taking on a huge commitment.

PTO Email & Communications Coordinator

Help monitor the PTO email account and route questions to the right people. Think of this role as “air traffic control” for PTO communication.

Tasks Might Include:

  • forwarding questions

  • flagging important items

  • organizing requests

  • responding to simple informational emails

Estimated Time: 10–15 minutes/day or a few check-ins throughout the week

Great for someone who:
Likes communication and organization and enjoys helping things run smoothly behind the scenes.

FINANCE TEAM

Treasurer – Andre Klamas

We’re incredibly lucky to have Andre continuing in this role. Andre manages the PTO’s overall financial strategy and operations and is fantastic to work with - organized, thoughtful, responsive, and deeply committed to supporting the Diamond community. At the same time, we’re intentionally breaking the traditional “Treasurer” workload into smaller, manageable support roles so no one person is carrying the entire burden alone.

Andre oversees:

  • PTO accounts and banking

  • Budgeting and financial planning

  • Reimbursements and financial processes

  • Financial reporting

  • Event financial oversight

  • Helping ensure PTO funds are used thoughtfully and transparently

Andre would love a few teammates to help support different parts of the finance process throughout the year: 

Budget & Banking Helper

Assist with tracking expenses, reconciling accounts, and supporting PTO budgeting.

Estimated Time:

~1–2 hours/month

Great for someone who:

Likes numbers, spreadsheets, bookkeeping, or structured, predictable tasks.

 

Event Finance Helper

Support ticket tracking, Venmo/check reconciliation, and event-specific finances.

Estimated Time:

Mostly around events

Great for someone who:

Is detail-oriented and comfortable helping with simple event logistics.

 

Reimbursement & Receipts Helper

Help organize receipts, reimbursement forms, and simple financial tracking.

Estimated Time:

Flexible / light-touch

Great for someone who:

Enjoys keeping things neat, tidy, and organized behind the scenes.

COMMUNICATIONS & DIGITAL SUPPORT

Weekly Newsletter Helper

Help compile PTO and school updates into a simple weekly email. Most content already exists - this role is mainly organizing and formatting.

Estimated Time: 30–60 minutes/week

Great for someone who:
Likes communication, editing, or newsletters but doesn’t want a huge commitment.

Membership & Directory Team

Help maintain Membership Toolkit and parent directory information. This role is busiest at the beginning of the school year and very light afterward.

Estimated Time: Seasonal / heavier in September

Great for someone who:
Likes systems, organization, and predictable project-based work.

Print Directory Helper

Coordinate the annual printed directory process by communicating with the printer and reviewing proofs.

Estimated Time: A few focused hours in the fall

Great for someone who:
Wants a very defined, finite project.

Website & Digital Support

Help update PTO website pages, signups, and event information. No coding required.

Tasks Might Include:

  • Posting signups

  • Updating event info

  • Swapping graphics

  • Checking links

Estimated Time: Flexible / as-needed

Great for someone who:
Is comfortable online and likes helping digitally from home.

Marketing & Social Media Team

Help create flyers, graphics, social posts, and event promotion throughout the year.

Estimated Time: Flexible - occasional or ongoing help welcome

Great for someone who:
Enjoys Canva, Instagram, photography, graphic design, or creative projects but doesn’t necessarily want to attend meetings.

Community & Events

Hospitality Team

Help create welcoming moments for staff and families throughout the year - snacks, appreciation lunches, coffee stations, desserts, and community touches.

Tasks Might Include:

  • Shopping

  • Setup

  • Coordinating food signups

Estimated Time: Flexible / event-based

Great for someone who:
Loves community-building, food, decorating, or helping create warm, welcoming experiences.

EVENTS TEAM - Supporting All Grade Levels

The Diamond PTO Events Team helps create fun, community-building experiences throughout the school year for students and families across all grades.

We’re lucky to already have an incredible core team in place:

  • Candice Del Rio - Rising 7th Grade Mom

  • Liz Dang Ryan - Rising 7th Grade Mom, LexFUN President, Estabrook Mom

  • Hugo Valdovines - Rising 8th & 6th Grade Dad, Estabrook Dad

This team works collaboratively across all grade levels and would love some additional teammates to help make next year’s events fun, manageable, and community driven.

 2026-27 Events & Initiatives may include:

  • 6th Grade Welcome Social (early Sept)

  • Cookie Dough Fundraiser (Sept/Oct)

  • Celtics Events (one fall, one spring)

  • Winter Movie Night

  • 8th Grade Graduation & End-of-Year Committee

  • 6th Grade End-of-Year Social

  • 7th Grade End-of-Year Social

Tasks Might Include:

  • Coordinating with Student Council (our amazing in-house event planning & marketing team)

  • Helping organize food & beverages

  • DJ/music coordination

  • Tickets/registration/check-in

  • Decorations & setup

  • Volunteer coordination

  • Brainstorming fun ideas

  • Helping events run smoothly day-of

Important:

No one is expected to run events alone. The entire goal of this structure is shared ownership, smaller tasks, and manageable involvement. 

Estimated Time:
Mostly clustered around individual events. 

Great for someone who:
Loves community events, enjoys bringing people together, wants to help create fun middle school memories, or likes helping with specific pieces of an event rather than owning the whole thing.

Volunteer Connector

Help match parents with volunteer opportunities throughout the year.

Tasks Might Include:

  • Creating signup pages

  • Recruiting & allocating volunteers

  • Helping fill small gaps before events

Estimated Time: Very light / mostly event-based

Great for someone who:
Knows lots of people, enjoys connecting others, or likes helping things come together.

Green Team

The Diamond Green Team helps support simple sustainability efforts at PTO events and activities while encouraging students to build good environmental habits in realistic, practical ways.

We’re fortunate to already have a passionate Green Team leader in Megan Hattori, who has done a wonderful job building this effort at Diamond and would love a few teammates to help with small shifts and shared support throughout the year.

Ways to Help Might Include:

  • Helping students sort compost, recycling, and trash at lunch for an hour

  • Reducing waste at PTO events

  • Encouraging reusable supplies

  • Supporting student-led green initiatives

Important:

This is intentionally designed to be low-lift and flexible. Sometimes simply having another adult quietly helping supervise waste stations during an event makes a huge difference.

It’s also a fun excuse to unobtrusively peek in on your middle schooler while helping keep Diamond events running smoothly.

Great for someone who:
Cares about sustainability, enjoys helping behind the scenes, wants a very manageable volunteer role, or likes the idea of supporting students in small but meaningful ways throughout the year.

GRADE-LEVEL REPRESENTATIVES 

6th, 7th, & 8th Grade Reps

Serve as a friendly point person for your grade by sharing PTO updates, encouraging participation, welcoming families, and helping families stay connected. We’d love multiple reps per grade so the role stays light.

Estimated Time: Very manageable / flexible

Great for someone who:
Enjoys community-building and staying connected.

SCHOOL & COMMUNITY LIAISONS

Great role for anyone already involved in these organizations. Collaborative way to stay informed and share news, announcements, fundraisers, events, etc.

LHS Liaison

Help share useful information for Diamond families transitioning to LHS.

Safe Routes to School Liaison

Stay informed about walking/biking safety updates and share relevant information with families.

LEF Liaison

Help connect the PTO with programs and opportunities with the Lexington Education Foundation.

Student Health Advisory Council Liaison

Attend occasional meetings and share relevant updates with the PTO community.

SEPAC Liaison

Help strengthen communication between Diamond PTO and SEPAC.

METCO Representative

Support communication, inclusion, and community-building efforts with METCO families.

A Few Final Notes

  • You do not need PTO experience.

  • You do not need to attend every meeting.

  • Helping once absolutely counts.

  • All roles are done from home.

  • Some people may choose one small role; others may jump in occasionally throughout the year.

  • We are intentionally building a PTO where volunteering feels manageable, flexible, and fun.
